TKO - Frequently Asked Questions

Licensing

  1. How many licences do I need

    Only those who are editors require a licence for TKO.  The application is installed on the PC of each editor.  Typically only people
    in a high level at the business would need a licence; like the owner or key managers.

  2. Do I need a licence for my published employee manuals

    You may publish as many manuals as you require for as long as you want to an unlimited number of employees in either printed,
    PDF or Web format.

  3. What if I need an extra licence

    If you have the need in the future for an additional licence, this may be purchased any time. The additional user will then
    be able to access the data file as an editor.

  4. What happens if I replace my PC

    If you replace your PC all you need to do is uninstall TKO and install on your new PC. You will then need a new release key
    which we will provide.

  5. What is the difference between the trial version and the "real" version

    The trial version is limited to 4 staff members and 40 documents. The trial version cannot be registered, it must be uninstalled
    before installing the registrable version. Any work you have started in the trial version will not be lost and can be used in the
    future when you purchase TKO.

Installation

  1. Where do I install TKO

    TKO is designed to be installed on the local drive of the PC that the editor/s use. Remote Desktop can be used for remote access.

  2. Do I need a special number or code to use it

    Yes. Each installation will provide you with a Machine ID, which you will forward to your distributor and receive your release
    key in return. Once released you will not need this key again.

  3. I haven't yet received my release key and am currently using TKO.... will I lose my data once I enter my release key

    No, all your work will still be there after you release TKO

  4. What computers will TKO run on

    TKO will operate on all Windows XP and Vista operating systems

  5. Is downloading the installation file over the internet safe

    Yes, downloading programs over the Internet is very safe and millions of people do it every day. The odds are very remote
    that you will be exposed to any virus, but you should be running a virus checking program anyway. Viruses are much more often spread by emails than any other method.

  6. Can TKO be used on a MAC

    No TKO will not run on a MAC operating system, however it will run on a MAC that has a partitioned drive with a Windows
    operating system installed.

  7. Can TKO be accessed remotely

    Yes but this will depend on the network system you have installed having this ability. Ask your IT administratopr if your system
    is capable of remote access.

Training

  1. What training is available

    Training is available in online sessions on a regular basis. Whilst TKO is very intuitive some training may be required depending
    on the ability of each user. There are three training sessions of two hours which will give you an in depth understanding of all
    parts of TKO. There is also a manual provided with TKO and a HTML help file is accessible at any time.

  2. What if I need more assistance

    Personal consulting is available to all users of TKO and is tailored to your needs. More assistance may be requested at any time
    and in any or all areas of the program.

  3. What level of software knowledge do I need

    TKO is written with the typical business owner in mind. It is designed to be intuitive and easy to navigate around however it is a software application and the basics of computer use is required.

Data

  1. Can I have more than one business in TKO

    You may have multiple data files in TKO if you have separate companies.

  2. Where do I store my data

    Most commonly your data file will be stored on a server. If you do not have a server then the data will be located in your local
    hard drive.

  3. What security is there for my data

    TKO will prompt you to create back ups of your data file depending on the settings you apply. You should apply the same
    diligence to your TKO data file that you would of your accounting data file.

  4. Can more than one person use TKO at a time.

    Yes. TKO can be operated concurrently by more than one editor.

  5. Can I restrict use of parts of my TKO data file to other editors

    No. All editors have access to all areas of the data file...but we're listening...restricted access will be a feature of future updates.

General TKO Use

  1. What is a Key Business Area

    Key Business Areas can be defined in a number of ways. Things an organisation must accomplish to achieve its objectives.
    What an organisation must be competent at (good at) to be successful. Things that are critical to the success of the organisation. Essentially in TKO when you are creating your Key Business Areas, think of them as the departments in your business.

  2. What is a role

    Depending on your terminology a definition of a role is a position or title that is required to carry out the tasks of an area of the business. i.e. The role of Sales person is required to support the Key Business Area that is sales.

  3. How long will it take to complete

    The time you need to complete your business operations manual is dependant on a number of factors. The main factor will be
    your commitment to the project and allocation of quality time to it. Other factors will be whether or not you have any existing documentation, or if you purchase a template of pre written content. There have been many examples of businesses completing manuals in a matter of 1 -3 months part time.

  4. How many policy and Procedure documents do I need

    There is no right number but typically a business will require between 200-500 documents to describe their operations thoroughly.

  5. Do you have any pre written documents I can use

    Yes we have a number of complete TKO templates and other specific pre written documentation you can acquire.

  6. Can I produce Policies and Procedures without first creating the Key Business Areas

    No, it is important that everything flows down from the Key Business Areas otherwise structure will be lost. Key Business areas
    are specifically created to hold the policy & procedure documents and make them easy to find.

  7. What is the best method to get started

    Use the Systems Manager and that will give you a step by step process to get you under way. In 7 steps you will have
    documented the structure of your business in TKO and be well on the way to completing your business manual.

  8. What is the best way to send a completed business manual via email

    The best way is to output the manual to a PDF file then attach that file to the email.

  9. Can I copy and paste from another word processing program into TKO

    Yes.
